The firm's comprehensive services include tax preparation, assurance services, outsourced accounting, wealth management, employee retirement planning, and business consulting.
The firm is looking for a Tax Office Administrator with a few years of experience to join our Menlo Park office.
Duties include:
Core
Responsibilities:
Handle private, privileged and sensitive information with absolute confidentiality Assembly of tax returns, financial statements and other presentation materials.
Log and maintain tax return status in our practice management software Scanning, sorting and copying client documents Manage firm and office document processes, including file storage, organization, scanning projects and shredding schedules Manage database for due date tracking of tax returns Answer telephone, screen and direct calls, queries from the public, and take and relay messages while maintaining firm and client confidentiality Sustain organized appearance of office Manage and monitor firms Sharefile portal where clients transfer information back and forth from the firm Duties may also include:
Maintain schedules and calendars, arrange meetings, staff meals, and appointments Ensure the timely delivery of tax returns once completed, by mail or special delivery.
Set up and maintain client information in firm database Process and distribute mail, generic/main incoming emails Other duties as may be assigned by Partners, Accountants, and Office Manager Must Have:
Professional and pleasant demeanor; must have self-control and stay calm in all situations Basic computer skills and knowledge of Excel and Word Telephone etiquette and customer service skills Excellent written and verbal communication Demonstrated tact, diplomacy, and good judgment Ability to quickly learn office specific programs Office Hours:

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
