TheAdministrative Assistant is responsible for providing comprehensiveadministrative support to multiple senior leaders. They will support a seniormanagement team, many with a high sense of urgency linked to critical businessissues. They will coordinate and track budget and expenses and managedepartment purchases. They will interact with senior management on a day-to-daybasis, handling very confidential documents and materials, and as such, mustmaintain strict confidentiality.
The Administrative Assistant will:
Collaboratefrequently with senior management and their assistants to solve complexproblems regarding project, department or division-related work.
Arrangedomestic and international travel, complete travel expense reports, and managelogistics of travel-related activities.
Managestaff calendars, updating schedules on daily basis.
Schedulemeetings through Outlook, secure call-in numbers, prepare meeting agendas andmanage attendance registration and logistics.
Exerciseindependent discretion and sound judgment toindependently assess and resolve complex situations/problems, and respond tofrequently shifting priorities across multiple departments.
Manageagreements and contracts with outside consultants and contracts; establish PO'sand work agreements per J&J Company Policies.
Arrangeoutside employee and vendor/visitor company visits.
Assembleand manage meeting presentations through WebEx and/or Global Connect.
Draftmemorandums, correspondence, and/or presentations.
Coordinateand track budget and expenses and manage department purchases through J&JSystems.
Provideadministrative support for day-to-day operations as well as individualprojects.
A minimum of ahigh school diploma is required.
A minimum of 4years of advanced administrative/executive experience supporting senior levelmanagement is required.
Strongorganizational skills and the ability to be extremely flexible while managingconflicting, shifting, and competing priorities with minimal supervision isrequired.
Demonstratedability to anticipate issues that may arise while taking initiative and actingwith a high level of sense of urgency is required.
Ability topartner and work cooperatively with all levels from Executive Leadership andSenior Management is required
Ability toexercise sound judgment and discretion to independently assess and resolvecomplex situations/problems is preferred.
Customer andemployee focused mindset is required.
Strong written andverbal communication skills are required.
Advanced computerskills including word processing, spreadsheets, executive presentations, anddatabase applications are required.
Familiarity and comfortusing internal systems for travel, purchase orders, service request managementand internal portals is required.
Stronginterpersonal and collaboration skills are required.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
