Program Support Assistant

The incumbent greets, answers questions, provides information and guidance, and initiates action as appropriate to Veterans, members of the public and medical staff for the Homeless Programs. Makes patient appointments and/or assists in making the determination as to the patient's eligibility for program entry. Incumbent reschedules patients as directed by the program staff. Obtains all key information needed and initiates medical administrative processing of basic requests and forms. He/she provides general clerical and administrative support coordination. The incumbent types, edits and maintains current copies of relevant forms. Places and follows up on work orders. The incumbent is responsible for all program letters, memorandums, reports, and summaries, evaluations, program brochures, letters of introduction, and other written communications, both electronically and hardcopy files. Enters appointments to capture workload and follows up with staff to insure proper completion of progress notes. In the role of Program Support Assistant, the incumbent is responsible for supporting the administrative needs of the HVRP program. Incumbent is required to perform a variety of clerical and administrative functions in support of the clinical staff and patients. The organization of the unit frequently puts the incumbent in direct contact with patients. Promotion Potential:

Incumbent performs a variety of administrative duties including data entry, collection, analysis and preparation of reports for the Homeless Programs. Assists research efforts including data entry, mailing and processing follow up study packets and collecting program evaluation packets from HVRP residents. He/she provides administrative and clerical advice and technical assistance related to program requirements and NEPEC guidelines. Utilizes the computer systems as it relates to programs in the processing of Veterans. Processes and enters demographic and statistical data into FileMaker database. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/08/2020. Time-In-Grade Requirement:
Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6- OR- for a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Excellent communication skills and familiarity with various computer programs, including Microsoft Office Suite. A high degree of discretion is required due to frequent access to confidential patient, employee, and health care system information. Manage and resolve requests for information from internal and external entities, including patients, staff and hospital leadership in an efficient and compassionate manner. Work is primarily sedentary. Work will involve some walking (between different offices, and to/from different areas of the Service), standing, bending, and lifting of light objects (such as books, files, papers, etc.), as well as a good deal of work on a computer keyboard. The check will bounce and the victim is left responsible.
